Privacy Policy
This policy explains what personal information the Batchd app and our website, thebatchd.app, collect, why, who we share it with, and the rights you have. We've written it to be read, not skimmed past. If anything is unclear, email us at support@thebatchd.app.
1. Who we are
Batchd is made by Refine Labs Ltd, a private limited company registered in England and Wales.
Refine Labs Ltd is the controller of your personal information: we decide how and why it's used.
Contact for anything in this policy: support@thebatchd.app.
2. What Batchd does
Batchd builds a weekly meal plan around your goal (lose fat, build muscle or eat healthier), your daily calorie and protein targets, your budget and the supermarket you shop at. It prices your shopping list, plans batch-cooking or meal-prep sessions, and lets you track your weight and the meals you've eaten.
To do that, we need some information about you and your body. We collect only what the plan needs.
3. Information you give us
| What | Examples | Why |
|---|---|---|
| Your goal and targets | Lose fat / build muscle / eat healthier; calories and protein if you type your own | To build your plan |
| Body details | Sex used for calorie maths, date of birth, height, weight, goal weight, pace, activity level, whether you're pregnant or breastfeeding | To calculate safe daily targets (see section 4) |
| Food preferences | Diet type, allergies, foods you won't eat, proteins and cuisines you like, kitchen appliances | To choose recipes that suit you and avoid allergens |
| Shopping details | Your supermarket, whether you use its loyalty prices, household size, weekly budget, US ZIP code (US only), shopping day and time | To price your plan at your shop and send reminders |
| Cooking routine | Batch cook or meal prep, cook days, time per session, which meals to plan | To plan your week |
| Progress | Weigh-ins, meals you mark as eaten, recipes you cook, ratings and notes | To show your progress and update your targets |
| Your name | First name, if you give it | To personalise the app |
| Account details | Email address, and identifiers from Sign in with Apple or Google, if you create an account. Apple may give us a private relay email instead of your real one | To save your plan and sync it across devices |
| Where you heard about us | TikTok, Instagram, a friend and so on | To understand which channels work |
| Messages to us | Support emails and feedback | To help you |
You can use Batchd without creating an account. Your information is then linked to an anonymous identifier rather than your name or email.
4. Health information
Some of what you tell us is health information, which UK and EU data protection law treats as special category data: your weight, height, body goals, pregnancy or breastfeeding status, allergies, and the calorie and protein targets we calculate from them.
- Our legal basis is your explicit consent. We ask for it in the app before we collect health information. You can withdraw it at any time by deleting your health details or your account (Settings > Delete my account). Withdrawing consent doesn't affect anything we did before, but Batchd can't build a personalised plan without it.
- We use health information only to calculate your targets, plan your meals, apply our safety rules (for example, we never plan a calorie deficit during pregnancy), and show your progress.
- We never sell it, use it for advertising, or share it with supermarkets, advertisers or data brokers.
- We never send it to our analytics provider.
Batchd isn't a medical service and doesn't diagnose or treat anything. See our Terms of Use.
5. Information collected automatically
| What | Details | Why |
|---|---|---|
| App usage events | Which screens you view and actions you take (for example "plan rebuilt" or "shopping list shared"), with an anonymous or account identifier. Never your body details, health information, allergies, notes or postcode | To understand how Batchd is used and improve it |
| Device and app information | Device model, iOS version, app version, language and region settings | To make the app work on your device and fix problems |
| Subscription status | Whether you have an active subscription or trial, the plan and renewal dates. We never see your card details; Apple handles payment | To unlock Batchd and help with billing questions |
| Website visits | Pages viewed on thebatchd.app, referring site, and approximate country, using privacy-friendly analytics without advertising cookies | To see which pages are useful |
You can turn off app usage analytics in Settings > Privacy at any time.
6. How we use your information, and our legal bases

| Create and secure your account; keep your data in sync | Performance of our contract |
| Manage subscriptions and free trials, including trial reminders | Performance of our contract |
| Send reminders (shopping day, cook day, thaw, weigh-in) | Your consent, given through the iOS notification permission and the in-app toggles |

7. Who we share information with
We share personal information only with service providers who process it for us, under contracts that require them to protect it and use it only on our instructions:
| Provider | What it does for us | Where |
|---|---|---|
| Supabase | Database, account sign-in and storage for your plan, answers and progress | Europe |
| RevenueCat | Checks subscription status and trial eligibility | United States |
| PostHog | Usage analytics (no health information) | EU |
| Apple | Sign in with Apple, App Store payments, notifications | Worldwide |
| Google sign-in, only if you choose it | Worldwide | |
| Our email provider | Sends sign-in links and, if you opted in, emails from us | See section 8 |
We may also share information:
- if we must by law, or to protect the rights, safety or property of our users or others;
- with a buyer or successor if Refine Labs Ltd or Batchd is sold or reorganised, who'd have to respect this policy.
We don't sell your personal information, and we don't share it for cross-context behavioural advertising.
Supermarket prices: we collect prices from supermarket websites through a third-party data provider. That process never involves your personal information, and supermarkets never receive anything about you.
8. International transfers
Some providers process information outside the UK, mainly in the United States. When they do, we rely on a UK adequacy decision (including the UK-US Data Bridge where the provider is certified) or the UK International Data Transfer Agreement or Addendum, so your information stays protected to UK standards.
9. How long we keep information
| Information | How long |
|---|---|
| Your answers, plans, progress, notes and account | Until you delete them or your account |
| After you delete your account | Removed from our live systems within 30 days and from backups within 90 days |
| Anonymous (no-account) data | Deleted after 24 months without use |
| Usage analytics events | Up to 24 months |
| Subscription and transaction records | 6 years, to meet UK accounting and tax law |
| Support emails | 2 years after the conversation ends |
Data stored only on your device stays there until you delete the app.
10. Your rights (UK and EU)
You have the right to:
- access a copy of your personal information;
- correct anything inaccurate (most of it you can edit in the app);
- delete your information (Settings > Delete my account, or email us);
- restrict or object to how we use it, including objecting to analytics;
- data portability: receive your information in a machine-readable format;
- withdraw consent at any time, where we rely on consent.
Email support@thebatchd.app to use any of these rights. We'll reply within one month. We may ask you to confirm your identity first.
If you're unhappy with how we've handled your information, please contact us first. You also have the right to complain to the Information Commissioner's Office: ico.org.uk, or call 0303 123 1113. If you live in the EU, you can complain to your local data protection authority.
11. If you live in the United States
- You can ask us what personal information we hold about you, ask us to correct or delete it, and opt out of any sale or targeted advertising. We don't sell personal information or use it for targeted advertising. Email support@thebatchd.app; we won't treat you differently for using these rights.
- Consumer health data. Some US state laws, such as Washington's My Health My Data Act, give extra protection to health information. The health information described in section 4 is collected with your consent, used only for the purposes in section 4, shared only with the service providers in section 7, and never sold. You can ask us to confirm what consumer health data we hold, to delete it, or withdraw your consent, by emailing support@thebatchd.app. If we refuse a request, you can appeal by replying to our response.
12. Children
Batchd is for people aged 18 and over. We don't knowingly collect information from anyone under 18. If you believe someone under 18 has given us information, email support@thebatchd.app and we'll delete it.
13. Security
We encrypt information in transit and at rest with our providers, restrict access to the people who need it, and require each user's data to be accessible only to that user. No system is perfectly secure, so we can't guarantee absolute security, but we'll tell you and the ICO about a breach where the law requires it.
14. Your choices
- Edit or delete your answers and progress in the app at any time.
- Turn reminders on or off in Settings > Notifications, or in iOS Settings.
- Turn analytics off in Settings > Privacy.
- Unsubscribe from marketing emails using the link in any email.
- Delete your account in Settings > Delete my account. Deleting your account doesn't cancel your App Store subscription; cancel it in iOS Settings > Apple ID > Subscriptions.
15. Changes to this policy
If we change this policy, we'll update this page. If a change matters (for example, a new use of your health information), we'll tell you in the app before it takes effect and ask for consent where the law requires it.
